Clinic Staff Quick Reference
Everything your front desk needs on one printable page — how a VIGA case moves through the clinic, the five staff rules, and portal basics.
Clinic Staff Quick Reference
VIGA gives pet owners zero-interest, zero-fee emergency loans and pays the approved vet bill directly to the clinic by bank transfer — VIGA never pays funds to the pet owner. The clinic charges its standard cash prices and is paid in full for the approved amount, up to the Ceiling.
How a VIGA case moves through the clinic
- The pet owner applies to VIGA — on their own. You may help them get started (see rule 1), but the pet owner enters and submits their own application. VIGA decides; the clinic has no part in approval, eligibility or terms.
- An authorization appears in the clinic's VIGA portal. The front-desk contact is emailed. It shows the pet owner's name, the VIGA Authorization Number, a short Reference code the owner can read out, the Ceiling (the most VIGA will pay), the issue and expiry dates, and the status. Only an authorization in the portal counts — not a screenshot, a verbal statement or what a client says. If a second borrower joins the loan, their amount is added to the same authorization's Ceiling — still one authorization, one claim.
- Collect the pet owner's share before you claim. That is any down payment plus anything above the Ceiling. Charge exactly what a cash client pays — no surcharges, minimums, padding, split bills or cash back.
- After treatment, submit the claim before the authorization expires. Open the authorization, enter the final bill, what the owner paid you and how they paid, upload the final itemized invoice, tick the confirmation box and Submit Claim. The date of service must fall within the authorization's dates. VIGA pays the final bill minus what the owner paid, never more than the Ceiling; the portal works this out for you. Treatment didn't go ahead? Void the authorization instead.
- VIGA pays the clinic by ACH, usually within 1–2 business days. Check each payment against your bank statement on the Payments page. VIGA's payment fully settles the pet owner's debt to the clinic for the amount paid. If care is cancelled or re-priced after VIGA has paid, the clinic refunds the difference within 15 business days.
The clinic is not part of the loan
The clinic is not a lender, broker, agent or loan processor of VIGA, collects no loan payments, and receives nothing from VIGA for referrals. Equally, VIGA has no role in diagnosis, treatment or outcomes — any question about the quality or price of care is between the clinic and the pet owner. Loan questions go to VIGA: info@viga.org.
Five rules for staff
- Help, but never enter it for them. You may explain VIGA and point a pet owner to the application, but never type into, complete or submit any borrower's application.
- Never collect a client's SSN, bank details, pay stubs or ID.
- Never promise approval, and never suggest who else should apply or borrow.
- Describe VIGA only as VIGA's own materials do — the first paragraph of this page is the safe description.
- Never borrow from VIGA for a client of the clinic — not as a second borrower, not in your own name.
Never pursue a pet owner — no billing, suing, collections or credit-bureau reporting — for amounts VIGA has paid, or for amounts under an authorization that is still open. The owner's own share and anything above the Ceiling are collected as usual. VIGA never sues its borrowers; never state or imply otherwise.
Portal basics
- Sign in with your email and password, then the 6-digit code from your authenticator app, a text message or your email, whichever you set up. Forgot your password? Click Reset it under the sign-in box and we'll email you a code.
- Your own login, always — never share passwords. The Front desk role looks up authorizations and, if an owner allows it, submits claims. Voiding an authorization and the Payments page are for owners, practice managers and billing.
- Keep it confidential. You see only the pet owner's name, the Authorization Number and Reference, the Ceiling, dates and payment status — never credit, bank or income information. Treat all client information as confidential.
